The General Office of the School of Foreign Languages (SFL) is the general administration office that carries out the administrative tasks of the School, liaises with the School and coordinates all administrative branches and all departments within the School. The Office operates under the direction of the Dean of SFL and is headed by the Director of the Office. It includes such administrative institutions as Teaching Affairs Office, Academic Research Office, Postgraduate Student Teaching Affairs Office, SFL Library, Laboratory Center and Student Affairs Office. The basic functions of the General Office are to offer consultation, assistance and comprehensive coordination. It serves both the leadership and the administrative staff, as well as the faculty and students. Its main responsibilities are to participate in administrative affairs, do management and offer comprehensive services. Its specific responsibilities include:
First, organize and arrange SFL general management meetings, the Dean’s Office meetings, and other school meetings, training and important activities, and take meeting minutes.
Second, check and supervise the departments and units in implementing the resolutions and instructions of the higher authorities, and give timely and accurate feedback to the leadership on the results and problems of the implementation.
Third, coordinate the working between all departments and units, and support and assist the work of all departments and units.
Fourth, draft documents for the School, including work plans, summaries, instructions, reports, notices, minutes, resolutions, assumptions and external correspondences.
Fifth, sign, register, examine, review, scan, distribute, co-organize, organize, supervise, file and archive all documents from higher authorities, external units and individuals, report and transmit documents. Reply all official documents and letters to SFL and file them.
Sixth, handle official documents such as requests and reports submitted by the units in the School to the School leadership.
Seventh, supervise the use of the School seals.
Eighth, collect complete statistical information of the School and write school annual report..
Ninth, organize and coordinate the reception for visitors from other universities.
Tenth, collect, catalogue, digitalize, bind and keep the comprehensive files of the School.
Eleventh, manage the reimbursement job for SFL leaders on business trip.
Twelfth, allocate office rooms to faculty and manage the use of conference rooms.
Thirteenth, undertake any temporary tasks assigned by the leadership.
